Create and manage visit events with ease using the visit module

The Visit section is highly customizable and allows you to manage both in person visits as well as video calls.

CREATE EVENTS

To be usable, you first need to create an Event, here is a concrete example with video call:

Here you can have up to 3 video calls at the same time, starting at a fixed time. Video calls can be done between 10am until 6pm, a call duration is 30 minutes and has a 10 minutes break in between 2 slots.

You can book them up to 7 days in advance, up to 6 hours before it starts.

You can add multiple time exceptions to manage lunch time, snack time, nap time or anything you can think of.

You can also add questions to the form, and in case of in person visit, you can also add an in-person declaration that the staff would need to fill upon arrival to the facility.

With the above parameters, relatives would see this visit screen, or select dates from the mobile app:

STAGGERING START TIMES

In the event creation, the setting Stagger Start Times allow you to stagger the visits so they don’t start at the same time:

Here in our example, it means that if you can have up to 3 video calls at the same time, but they would not start at a fixed time - instead they would start after your 10 minutes staggered start time.

BOOKINGS THAT REQUIRE APPROVAL

Using the "bookings must be validated by a Manager" option when creating an event will allow you to approve bookings prior to confirmation. This is helpful when setting a "meet the director" event or similar. When families make the booking as usual, the manager(s) will then receive a notification to approve or reject the booking.

BOOKING VISITS

Visits can be booked from 3 different places:

  • Altra app for relatives

  • By staff, from the Visit page, especially for walk-in visits:
    During walk-in visits, the “In-person declaration” will be taken from the default Org settings

  • By relatives coming directly to the facility through the digital form that you could display at the building entrance on a tablet:

You can view at any time what are the bookings for a specific event or for all bookings:

And then see answers to potential questions you set-up, or fill-in the in person declaration here:
