ADDING EVENTS:
Click Add event to create an activity, including a link or supporting documentation. Scroll through past or upcoming weeks using the arrows, and click any event to open its details.
REPEATING EVENTS:
Set how often it repeats (every X days, weeks or months).
Choose the day(s) of the week — more than one is fine.
Set how many times it repeats, or choose Until deleted.
FAMILY EVENTS AND RSVPs
Mark an event as a family event to notify families and let them RSVP directly from the invite — useful for a summer party or a Christmas gathering. Open the event’s Relative Participation tab to see responses (Attending, Not Attending, No Response) and resend invites to anyone who hasn’t replied.
On the Activity Details page, we can click the Relative Participation tab to view all responses from relatives. Responses will be either Attending, Not Attending or No Response. From this page you can resend invites to those that have not responded yet.
EDITING OR DELETING EVENTS
Click any event on the calendar to open, edit or delete it.
MULTIPLE CALENDARS PER DEPARTMENT
In Org Settings, turn on multiple activity calendars per department under Activities Calendar.
Make sure department names are entered correctly under Departments.
When adding events, assign them to a department.
GENERATE DAILY/WEEKLY PDF PRINT OUT
Click Generate PDF and choose Daily (one page per day) or Weekly. Choosing Weekly opens a live preview showing exactly what will print — one A4 landscape page, with text that’s never cut off — alongside a panel of layout options.
Layout. Choose between:
Auto — automatically picks the richest layout that still fits the page.
Spacious — gives every activity a picture, all at one uniform size, sized to fit the week.
Comfort — uses small icons instead of full-size pictures.
Compact — text only, no images.
Text size. Choose Auto, S, M or L.
Auto uses the largest size that still fits the page, and never drops below a readable minimum — if something genuinely can’t fit, you’ll be told so rather than having the text quietly cut off.
Day structure. Split each day into No split, AM · PM, or AM · Lunch · PM.
Other options:
Fill available height — stretches the calendar to use the full page.
Show weekend — includes Saturday and Sunday. Every day always prints, even if it’s empty, and if two activities are scheduled at the same time, they stack in order.
Locations — show or hide each activity’s location underneath its name.
Tick Save as this home’s default settings to make your choices the default for everyone at your home going forward. Once the preview looks right, click Download PDF.
Select daily to print the menu as daily print out (each day has its own page).
TRY OTHER PDF LAYOUTS
As a manager, go in the Activities Calendar tab in the Org Settings:
From there, you can choose between our 2 different daily layouts.
RECORDING ACTIVITY PARTICIPATION AND MOOD
Click an event (or a one-on-one activity) and select residents from the dropdown to log participation. Use the smiley faces to track mood, and the red X to note a resident declined. Add comments for individual residents — these feed into activity reports.
POSTING FROM RESIDENT PARTICIPATION
Record participation as usual.
Scroll down and add a post — residents already logged as participating are pre-selected.
Once saved, the post appears on the dashboard, linked to the activity. Click the activity name or View post to jump to it.
ADDING PARTICIPATION FROM A POST
When creating a post, you can also mark it as an activity participation, logging the activity for every tagged resident at once.
